Main Purpose of the Job- Assist Head of Great China for his day-to day duty協助大中華區域董事總經理日常工作- To work closely with the Regional Senior Admin Managers in China to provide general secretarial and administrative support to the overall business.與區域高級行政經理緊密合作,為整體業務提供全面的秘書和行政支持。Job Description:- Extensive diary management for the Head of Great China (HGC) including acting as “gatekeeper”大中華區域董事總經理日程安排管理- Daily monitoring of email for HGC; Maintain HGC’s calendar by scheduling appointments and meetings based on workload and priorities大中華區域董事總經理郵件的日常管理;根據工作量和優先順序安排直線經理行程表上的商務約會和會議- Regular liaison with the LM on diary movements and key factors relating to the Consulting business, especially in prolonged absences定期與大中華區域董事總經理就行程安排和與咨詢業務相關的關鍵事項進行聯絡溝通,特別是長期外出期間 Confidential and personal correspondence for the HGC處理直線經理的機密信函和私人信函 Contribute actively to communication, establish a network within the organization to support主動溝通協調,并構建社交關系以提供更好的支持 Cohesion between all departments提升部門凝聚力 Forestall, brief and prepare HGC as necessary for all appointments為大中華區域董事總經理的商務約會做準備安排- Make travel arrangements; complete expenses claims and corporate card management出差安排,個人報銷,公司事務管理- Preparation of agenda/papers for circulation at meetings/minutes/reports; Prepare and distribute meeting minutes, correspondence, reports and presentation materials準備會議或報告所需的會議議程或文件,編寫及分發會議紀要,準備報告和演示文稿- Audio/copy typing of letters, memos, reports etc.輸入、復印信件、備忘錄、報告等- Arranging lunches/events for HGC and team為大中華區域董事總經理和團隊安排午餐和活動- Research and arrange all social functions調查和安排所有社交活動- Managing of incoming & outgoing telephone calls and conveying messages to clients’ etc.管理來電和致電,并將信息傳達給客戶等- Support the HGC in ensuring that all compliance information is in place (financial, sales, KPI etc.)協助大中華區域董事總經理確保所有合規信息到位(財務,銷售,KPI等)- Ensuring HGC receives current financial performance information in a timely manner確保大中華區域董事總經理及時收到最近的財務信息- Production of slick PowerPoint presentations for clients in conjunction with Project Support為客戶和項目編制PPT演示文件- Constructing complex and detailed presentations for internal and external use為外部和內部使用目的起草復雜的和詳細的演示文稿- To assist in ensuring that appropriate client entertainment is held during the year and to assist in any arrangements thereof.確保每年舉行適當的客戶娛樂活動,并協助所有活動安排- Support the HGC in delivering excellent service by collating and managing proposal documents通過整理和管理服務建議書文件,協助直線經理交付優質的服務- On occasion support team with client site activities不時支持團隊與客戶現場的活動- Coordinate administration procedures, guidelines and cut-off dates to ensure smooth running of administration for HGC協調行政程序,操作指南和截止日期,以確保大中華區域董事總經理行政事務的順利進行- Perform miscellaneous job-related duties as assigned其他工作安排Job Requirements:- 5+ years relevant experiences5年以上相關工作經驗- Pro-active approach - able to identify areas of need積極主動,能識別各種需求- A flexible attitude - able to respond to the needs of the business靈活的態度,能應對公司業務的各項需求- Able to multitask and manage priorities能勝任多項工作任務安排,并分清輕重緩急- Excellent organizational skills and attention to detail優秀的組織能力,關注細節- Good English communication, both spoken and written良好的英語溝通能力,書寫和聽說
